Executive Assistant to Co-Founder (Leadership & Growth Enablement)

About the Role
At Finsmart Accounting, we are re-imagining how global accounting firms scale through offshore talent, technology, and innovation. As we expand across the U.S., U.K., and beyond, we’re seeking a strategic Executive Assistant to partner directly with our Co-Founder, Maanoj Shah — a dynamic leader driving brand, partnerships, and growth strategy.
This is not a typical admin role. You’ll operate as the Co-Founder’s strategic right hand — organizing his schedule, managing communications, leading follow-ups, driving research initiatives, and ensuring execution across leadership priorities. Think of this as a hybrid of Executive Assistant + Chief of Staff (in training) — combining structure, intellect, and curiosity in equal measure.
Key Responsibilities
🧭 Leadership & Calendar Management (25%)
- Manage a dynamic global calendar, meetings, and travel schedule across time zones.
- Anticipate priorities, prepare daily/weekly briefs, and ensure meetings are purposeful and well-prepared.
- Maintain flexibility to manage real-time changes due to travel or business needs.
- Protect leadership time by filtering, prioritizing, and scheduling effectively.
💬 Communication & Relationship Management (15%)
- Manage the Co-Founder’s inbox and professional correspondence; respond or draft replies where appropriate.
- Maintain high-touch communication with clients, partners, and collaborators.
- Handle professional social media follow-ups, greetings, and networking coordination.
- Track important relationships — clients, conference contacts, and strategic partners — ensuring no opportunity is missed.
🔍 Research, Market Insights & Strategic Projects (30%)
- Conduct research on prospective clients, partners, and industry trends.
- Prepare briefing notes and opportunity summaries before meetings.
- Assist in competitive benchmarking, industry analysis, and special research assignments (e.g., market feedback, AI adoption trends, etc.).
- Contribute to thought-leadership and brand initiatives like Smart Outsourcing Talks, AI Accountant Collective, or The Outsource Insider.
🗂 Internal Coordination & Execution (20%)
- Capture and circulate minutes from internal meetings and ensure timely follow-ups via ClickUp.
- Liaise with Finsmart’s Pune teams to ensure leadership projects move forward on schedule.
- Track project timelines, deliverables, and cross-functional dependencies.
- Keep the Co-Founder updated on project progress and emerging risks or delays.
✈️ Travel, Events & Brand Logistics (10%)
- Plan and manage travel itineraries — flights, hotels, conference registrations, and local meetings.
- Coordinate client/prospect meetings during U.S. or domestic travel.
- Manage thoughtful touches such as greetings, gifts, and thank-you gestures for key relationships.
- Support participation in global accounting events, brand showcases, and social initiatives.

Candidate Specifications
Qualification
- Master’s in Commerce and/or MBA in Marketing, Operations, or Finance
- Prior experience in a professional services firm (Accounting, Consulting, Law, or Corporate Advisory) will be a strong advantage
